Roles and what is shared in the CRM team
Everyone in your organisation shares one CRM workspace. Owners and admins change the setup and run imports. Held details need extra permission.
A CRM workspace belongs to an organisation. Your CRM role is your organisation role: owner, admin or member.
What each role can do

A member who tries a setup action is told only the owner or an admin can change how the CRM is set up.
What is shared
- Records, notes, tasks and the timeline are the workspace's, so anyone in the organisation sees what a teammate wrote.
- Your layout of a record page and your saved list views are yours, in your browser. They are not shared with the team yet, and the page says so.
- Your schedule is not shared. Sharing it is not connected.
- The seat belongs to the account that first took it. Another account with the same email is refused.
Held details
Bank details, date of birth and home address are held. They never appear in a list, a page, a change log, an export or an import preview. An owner, or someone with the organisation permission to reveal sealed details, can ask for one held detail by name. Each request is logged and rate limited. An admin role on its own is not enough.
Privacy requests
A person's data in the CRM can be found and archived on request, and erased on a reviewed request. Ask through Data requests: access, erasure and objection.
