Import records from another CRM or a spreadsheet
Bring a CSV from HubSpot, Pipedrive, Salesforce, Zoho, Attio or a spreadsheet in five steps, with a check before anything is added and an undo after.
You will have the rows of your file in the CRM as companies, people, deals or leads, with a report of what was done and a way to remove it.
Before you start
- You must be the owner or an admin of your organisation.
- Save the file as a CSV. From Excel, save as CSV first.
- The file can be up to 10 MB and 50,000 rows.
Steps
- Press Import at the top of Companies, People, Leads inbox or Deals, or choose Import a CSV during setup. The Import records page opens.
- Your file. Drop the CSV or press Choose a CSV file. Under Where is it from? pick HubSpot, Pipedrive, Salesforce, Zoho, Attio, A spreadsheet, or leave Work it out.
- Columns. Adapt places each column and tells you how many it placed. Check them. A column you leave out is not imported.
- Stages. If the file has deal stages, map each to one of yours.
- Check. Pick what to do with a record that already exists: Fill their empty fields, Use the file's values or Leave them as they are. The check counts what would happen. Nothing has been added yet.
- Import. Press Import. It runs in the background with a progress bar. You can leave the page.
What it does
- It matches people by the other CRM's record id, then by email. It matches companies by that id, then by company number, then by website domain, then by name. It matches deals by that id, then by name within the same company. Importing the same file twice updates records and never copies them.
- A value your lists do not hold yet, such as a new source or lost reason, is added to the list, not dropped.
- A value that does not fit a field is left out and listed by column in the report.
- The page lists Earlier imports, each with its result.
What it does not do
- It does not read bank details, card details, sort codes, account numbers or dates of birth from a plain column. They are left out and reported, and never shown in the preview.
- It does not keep your file. The file is held for two hours at most and dropped once the import has run.
- It does not copy a record's history from the other CRM, only the fields you map.
- It does not change the UK book.
Undo
On an import in Earlier imports press Undo. It removes what that import added. A record is hidden, not deleted, and the list says how many are still here.
If an import stops part way, the page says "The import stopped" and shows what was done. Check the report before importing again.
